VAT / GST invoice template

A tax invoice with the consumption tax shown separately, your registration number on the face of it, and a total your client's accountant can reclaim against. The tax row is named by you, because it isn't called VAT everywhere.

When to use it

Use it when you're registered to charge a consumption tax — VAT, GST, IVA, TVA, sales tax — and your client needs a document to support their own return.

Two tax rows are normal in some markets: a headline consumption tax plus a levy. The totals block carries both without collapsing, and shows whether each is added to the subtotal or already inside the prices.

Field by field

Your registration number

The tax identifier your authority issued. In most systems a client cannot reclaim tax against an invoice that doesn't carry it.

Tax label

Whatever your authority calls it. Hardcoding “VAT” onto an invoice in a GST or IVA country makes the document look foreign to the people processing it.

Rate per line

Where some lines are zero-rated or exempt, mark them. A single blended rate across mixed lines is the error most likely to be queried.

Inclusive or exclusive

State which. Inclusive means the tax is already inside the line prices and is being disclosed; exclusive means it is added at the bottom.

Questions people ask

What makes an invoice a valid tax invoice?

Requirements are set by your tax authority and typically include sequential numbering, your registration number and address, the client's details, the date of supply, a description, and the tax shown separately with its rate. Check your own authority's list — they differ.

Is a PDF a legally compliant e-invoice?

Not on its own, in a growing number of countries. Many now require invoices to be registered with the tax authority through an approved system that returns an official number and QR code. This tool produces a document; it does not file it.

Can I show two taxes?

Yes — add a second tax row and name it. The totals block keeps them in order and shows the base each was computed on.

What this is, and what it isn't

This creates an invoice document — the kind you send a client and attach to a payment. It is not a fiscalised e-invoice. Many countries now require invoices to be registered with the tax authority through an approved system, which returns an official number and QR code. We don't do that. If your business is in scope where you are, this document is still yours to send — but the official filing happens elsewhere. We'd rather tell you than let you find out.

We don't validate tax IDs or registration numbers, and nothing here is tax advice. Rates and labels are yours to set; we don't maintain rate tables for every country and won't pretend to.
